Document requirements:
Must clearly show the company's legal name and address
Where the document is a statement, invoice, or letter (items 1–2, 4, 6–8, 11–13), it must be dated within the last 3 months
Where the document is a policy, agreement, or registration (items 3, 5, 9–10), it must be currently valid and active, even if originally issued more than 3 months ago
Proof of address requirements by entity type:
Sole Proprietor
• Individual proof of address: any document from the accepted individual list, not older than 3 months, showing your own full name and South African address
• Business proof of address: letterhead, invoice, or similar document showing the full trading name you operate under and the physical address you trade from
Private Company (Pty) Ltd
• Business proof of address: any document from the list above, not older than 3 months, showing the company's full legal name and South African address; OR
• CoR 21.1 – Notice of Change of Registered Office, only accepted if issued within the same calendar month as the application
• See "Exception: Co-working spaces" below for newly registered sole-director companies
Listed Company (Ltd)
• A separate business proof of address is not required, since the company's registered details are verified against its stock exchange listing
• Each authorised signatory (including directors) must still submit their own individual proof of address, not older than 3 months
Non-Profit Company (NPC)
• Business proof of address: any document from the list above, not older than 3 months, showing the organisation's full legal name and South African address
Exception: Co-working spaces
For newly registered companies with a sole director operating from a co-working space, where the director's personal name appears on the invoice (rather than the company's), we can accept one of the following in place of the standard business proof of address:
The co-working space invoice, issued in the director's name (less than 3 months old), together with a signed declaration confirming the company operates from the stated co-working space address; OR
A sworn affidavit obtained at a police station, as a temporary placeholder, where the company operates from the director's residential address
This exception applies only to newly registered companies with a sole director, and overrides the "company legal name" requirement above.
If none of these documents apply to your situation, please contact support and we'll advise on alternative options.
