To speed up the onboarding flow, it’s helpful to have the following documents on hand depending on your South African business entities type:
1. SOLE PROPRIETOR
Identity Document
•SA citizens: Colour copy of SA ID card (front and back) OR colour copy of ID book
• Foreign nationals: Clear colour copy of valid passport AND copy of valid visa or work permit
•Refugees: Valid Section 24 permit OR red 13-digit ID book
Proof of Address
•Recent utility bill, lease agreement, or bank statement (not older than 3 months) showing full name and South African address
Trading Declaration
•Statement confirming how long the sole proprietor has been trading and the trade name used (can be submitted in writing or via the platform)
Source of Funds Declaration
•Completed on the Zazu platform during onboarding
2. PRIVATE COMPANY (PTY) LTD
Company Documents
• Certificate of Incorporation: CM1 or CoR 14.3 from CIPC
• Memorandum of Incorporation: CoR 15.1B
• Register of Directors OR CIPC Disclosure Certificate reflecting directors (dated within past 3 months)
• Declaration of Ultimate Beneficial Owner (UBO)
• Certificate of Change of Name: CM9 or CoR 9.4 (if applicable)
• Source of Funds Declaration
• Business Proof of Address: Recent utility bill, lease agreement, or bank statement (not older than 3 months) showing full company name and South African address
For Each Director
• Clear colour copy of SA ID green book or smart ID card (front and back) OR valid colour passport copy
• Recent utility bill, lease agreement, or bank statement (not older than 3 months) showing director name and South African address
Foreign Directors Only
Onboarding may be considered only if:
• At least one director holds a valid South African work, business, or permanent residence permit; AND
• That permit is valid at submission and does not expire within 6 months of the submission date
3. LISTED COMPANY (LTD)
Company Documents
• Proof of listing on a recognised stock exchange (from the exchange's official website)
• CIPC Disclosure Certificate reflecting company directors (dated within past 3 months)
• Declaration of Ultimate Beneficial Owner (UBO) - completed on the Zazu platform during onboarding
Authorised Signatories (as per board resolution)
• Clear colour copy of SA ID green book or smart ID card (front and back) OR valid colour passport copy
4. CLOSE CORPORATION (CC)
Company Documents
• Certificate of Incorporation (CK1) from the Companies Registrar OR CIPC Disclosure Certificate showing registration number, name, and members
• Declaration of Ultimate Beneficial Owner (UBO) - completed on the Zazu platform during onboarding
• Source of Funds Declaration
• Business Proof of Address: Recent utility bill, lease agreement, or bank statement (not older than 3 months) showing full CC name and South African address
For Each CC Member
• Clear colour copy of SA ID green book or ID card (front and back) OR valid colour passport copy
• Recent utility bill, lease agreement, or bank statement (not older than 3 months) showing full name and South African address
Foreign Directors Only
Onboarding may be considered only if:
• At least one director holds a valid South African work, business, or permanent residence permit; AND
•That permit is valid at submission and does not expire within 6 months of the submission date
5. PERSONAL LIABILITY COMPANY (Inc.)
Company Documents
• Certificate of Incorporation: CM1 or CoR 14.3
• Memorandum of Incorporation confirming it is a personal liability company
• Register of Directors OR CIPC Disclosure Certificate reflecting directors (dated within past 3 months)
• Declaration of Ultimate Beneficial Owner (UBO) - completed on the Zazu platform during onboarding
• Source of Funds Declaration
• Business Proof of Address: Recent utility bill, lease agreement, or bank statement (not older than 3 months) showing full company name and South African address
For Each Director
•Clear colour copy of SA ID green book or ID card (front and back) OR valid colour passport copy
•Recent utility bill, lease agreement, or bank statement (not older than 3 months) showing full name and South African address
Foreign Directors Only
Onboarding may be considered only if:
• At least one director holds a valid South African work, business, or permanent residence permit; AND
• That permit is valid at submission and does not expire within 6 months of the submission date
IMPORTANT NOTE - Foreign Directors
An application will not be processed if a company meets all three of the following conditions:
• All directors are foreign nationals
• All directors hold only non-South African passports
• No director holds a valid South African work, business, or permanent residence permit
